Warehouses & logistics
Warehouses and logistics: receiving, transfers and dispatch confirmed with evidence
For distribution centres, cold stores and cross-docking.
Who it is for
For distribution centres, cold stores, cross-docking hubs and companies that move stock between their own sites. Receiving is fast, damage is found late, transfers are hard to follow and disputes with carriers end without proof. SiteQuilt records each step with time, place and photo, next to the warehouse management system you already run, so the evidence exists when someone asks what happened.
Warehouses & logistics
Typical problems
Fast receiving, damage found late
Loads are signed off quickly and damage or shortages show up after the carrier has left.
Transfers hard to follow
Stock in transit between sites has no clear sender, receiver or confirmation.
Carrier disputes without proof
Claims end without photos or timestamps of what was loaded or received.
Cold chain on paper
Truck and chamber temperatures are written by hand and checked late.
Multilingual shifts at the dock
Operators speak different languages and procedures are explained once, verbally.
Equipment checks skipped
Dock and equipment checks per shift are hard to verify.
Platform
Modules that solve them
Vision checks with cameras
Optional checks on the cameras you already own, processed on site.
See the module →Staff voice assistant
Procedures and shift questions answered by voice, in each person's language.
See the module →Invoice matching and reports

A typical day, step by step
How a warehouse day runs in SiteQuilt.
1
Inbound receiving
Each delivery is checked against the delivery note or invoice, with photos of the load, seals and any damage, before the carrier leaves.
2
Cold chain checks
Temperatures of trucks, chambers and products are logged on schedule; an out-of-range reading opens a ticket.
3
Transfers between sites
Every transfer has a sender, a receiver and a confirmation on both ends, so stock in transit is visible.
4
Dispatch and proof
Outbound loads are photographed and confirmed before departure, which gives you evidence in a dispute.
5
Shift handover and safety
Dock and equipment checks are completed per shift, and issues are handed over with tickets that stay open until fixed.
6
Daily overview
Head office sees receiving, transfers, open tickets and checks for every site on one screen.
Integrations
Works with the systems you already run
SiteQuilt sits next to your warehouse management system rather than replacing it. Where your WMS, ERP or transport tools offer an API or exports, we connect them; this is confirmed during discovery. Supplier e-invoices can be pulled from the national e-invoicing system and pushed to accounting. Existing cameras can confirm steps at the dock, processed on site.
Compliance
Records ready when someone asks for them
Warehouses keep records for workplace safety, equipment checks and, for food or temperature-sensitive goods, cold chain and traceability. SiteQuilt keeps these checks and documents per site, with time, owner and photos, and alerts before documents expire. It supports your procedures; responsibility for compliance stays with the operator.
Pilot at one location
Start small, measure, then roll out
- Discovery: we map one location, its systems and the workflows above.
- Setup: sites, users, roles, checklists and the first document roadmap.
- Live use: the team works in SiteQuilt every day; we record the starting point.
- Review: together we compare the indicators and decide on the next locations.
What we measure in the pilot
- Deliveries received with complete photo evidence
- Transfers confirmed on both ends
- Cold chain checks completed on schedule
- Disputes resolved with recorded evidence
We measure your own starting point. We do not promise figures in advance.
FAQ
Questions we hear
Does SiteQuilt replace our WMS?
No. SiteQuilt sits next to your warehouse management system and records the operational evidence: photos, checks, tickets and confirmations.
Can we prove the condition of a load?
Yes. Receiving and dispatch are recorded with photos and timestamps, so you have evidence in a carrier or customer dispute.
How do transfers between sites work?
Each transfer is confirmed by the sender and by the receiver, so stock in transit stays visible until it arrives.
Can operators use it in their own language?
Yes. Procedures, training and the voice assistant work in each person's language.
Do we need new cameras?
No. Vision checks are optional and use the cameras you already own, processed on site.
How are warehouses priced?
Warehouses and logistics are quoted in the Personalize plan, with modules chosen after discovery.
