Pharmacy chains

Pharmacy chains: documents, expiry and audits under control in every pharmacy

Permits, documents, expiry dates, checks, sales and online orders on one screen per pharmacy.

Tested in production.

Who it is for

For pharmacy chains and networks with several pharmacies. Each pharmacy keeps permits, staff documents, temperature records and expiry dates, and head office needs to know, at any time, what is missing and where. SiteQuilt keeps these records per pharmacy, turns internal procedures into checklists and audits, and connects them with sales, stock and online orders. It supports your own procedures; responsibility for compliance stays with the operator.

Pharmacy chains

Typical problems

Permits and documents expire unnoticed

Operating permits, staff documents and contracts are tracked in folders and spreadsheets, without alerts.

Products close to expiry

Lots close to their expiry date are found late, at inventory or on the shelf.

Temperature and storage records on paper

Fridge and storage checks are written by hand and hard to show on request.

Different standards per pharmacy

Display, cleanliness and procedures are checked only during visits.

Repeated customer questions

Opening hours, availability and order status take time from the team at the counter.

Late numbers per pharmacy

Invoices, sales and costs per pharmacy arrive at month end.

A typical day, step by step

How a pharmacy day runs in SiteQuilt.

1

Opening

The opening checklist covers cleanliness, displays and the fridge temperature record, with a photo where needed.

2

Documents

The dashboard shows which permits or staff documents expire soon, per pharmacy, with an alert to the person responsible.

3

Deliveries and expiry

Supplier invoices arrive automatically from the national e-invoicing system; lots close to expiry are flagged.

4

Counter and online

The till and the online store share the same products and availability; online orders are prepared for pickup.

5

Customer questions

The chat assistant answers hours, availability and order status and hands over to the team for anything else.

6

Closing and report

The closing checklist confirms cash and security; sales are matched to the Z report and land in the pharmacy P&L.

Integrations

Works with the systems you already run

Supplier e-invoices can be pulled automatically from the national e-invoicing system and pushed to your accounting. Connections to pharmacy management or ERP systems depend on whether your provider offers an API or exports, and are confirmed during discovery. SiteQuilt does not handle prescriptions or patient records.

Compliance

Records ready when someone asks for them

Pharmacies and distributors work under national health rules and good practice guidelines that require documented procedures, storage conditions and qualified staff. SiteQuilt helps you keep those records organised per location, with dates and owners, and shows what is about to expire or is missing. It does not replace your quality system or professional responsibility, and how it fits your procedures should be checked by your own quality or legal specialist.

Pilot at one location

Start small, measure, then roll out

  1. Discovery: we map one location, its systems and the workflows above.
  2. Setup: sites, users, roles, checklists and the first document roadmap.
  3. Live use: the team works in SiteQuilt every day; we record the starting point.
  4. Review: together we compare the indicators and decide on the next locations.

What we measure in the pilot

  • Documents valid per location
  • Temperature checks completed on schedule
  • Products close to expiry handled in time
  • Time needed to prepare for an inspection

We measure your own starting point. We do not promise figures in advance.

FAQ

Questions we hear

How do we keep permits and documents up to date in every pharmacy?

Each document is recorded per pharmacy with its expiry date. The responsible person gets an alert before it expires, and a dashboard shows what is missing.

Can we track product expiry dates?

Yes. Products and lots are recorded with their expiry date, and the pharmacy gets an alert before they expire.

Does the virtual assistant give medical advice?

No. It answers practical questions such as hours, availability and order status, and hands over to your team for anything else.

Does it work with our current pharmacy system?

SiteQuilt has its own POS and inventory, or connects to your current system where it offers an API or exports. We confirm this during discovery.

Do we need new cameras?

No. Vision checks are optional and use the cameras you already own, processed on site.

How are pharmacy chains priced?

Pharmacy chains are quoted in the Personalize plan, with modules chosen after discovery.
