Hotels & housekeeping

Hotels and housekeeping: the same standard in every room and every property

Your PMS knows who is in the room. SiteQuilt shows whether the operation meets the standard.

Tested in production.

Who it is for

For hotel groups, aparthotels and resorts with more than one property, or one large property with several outlets. Your property management system knows who is in which room. SiteQuilt covers the operational side: whether rooms were inspected, whether the breakfast kitchen kept its temperature records, whether the broken minibar was fixed and whether a new seasonal team knows the standard.

Hotels & housekeeping

Typical problems

Housekeeping inspections on paper

Room checks are written on sheets and nobody sees the result per room in real time.

Maintenance lost between shifts

A broken lamp is reported verbally and forgotten by the next shift.

Breakfast and banqueting standards

Temperature records and allergen labels in the hotel kitchen are hard to show.

Stock on floors

Linen, amenities and minibar stock move between floors without a record.

Seasonal, multilingual teams

New colleagues learn the standard from whoever is on shift.

Guest questions at reception

Repeated questions about hours and services take time from the front desk.

Hotels & housekeeping

A typical day, step by step

How a hotel day runs in SiteQuilt.

1

Morning room inspections

Supervisors check rooms against a checklist on a phone, with a photo for every exception and a score per room.

2

Breakfast kitchen

Recipes, allergen labels and temperature checks are logged at the station.

3

Maintenance tickets

Any team member opens a ticket with a photo; it follows the room until the fix is confirmed.

4

Receiving and floor stock

Deliveries are checked against the supplier invoice; linen and amenities are transferred to floors with a record.

5

Guest questions

The chat assistant answers practical questions in the guest's language and hands over to reception for anything else.

6

Evening handover

Outlets close with a digital checklist and the night team sees open tickets and notes from the day shift.

Integrations

Works with the systems you already run

SiteQuilt sits next to your property management system rather than replacing it. Where your systems offer an API or exports, we connect POS sales, supplier invoices, accounting and existing cameras. National e-invoices can be pulled automatically. Which connections are possible for your stack is confirmed during discovery; we do not list connectors we have not built.

Compliance

Records ready when someone asks for them

Hotels keep records for food safety in the kitchen, fire safety, operating permits and staff documents. SiteQuilt keeps these checks and documents per property, with dates, owners and photos, so they can be shown at an inspection. It supports your procedures; responsibility for compliance and any certification stays with the operator.

Pilot at one location

Start small, measure, then roll out

  1. Discovery: we map one location, its systems and the workflows above.
  2. Setup: sites, users, roles, checklists and the first document roadmap.
  3. Live use: the team works in SiteQuilt every day; we record the starting point.
  4. Review: together we compare the indicators and decide on the next locations.

What we measure in the pilot

  • Share of rooms passing inspection the first time
  • Time from maintenance ticket to fix
  • Kitchen checks completed on time
  • Documents valid per property

We measure your own starting point. We do not promise figures in advance.

FAQ

Questions we hear

Does SiteQuilt replace our PMS?

No. Your PMS keeps reservations and rooms; SiteQuilt covers inspections, tickets, kitchen, stock and training next to it.

How do room inspections work?

Supervisors use a checklist on a phone, add a photo for every exception and each room gets a score. Failed rooms go back to housekeeping with the reason.

Can we track maintenance per room?

Yes. Each ticket is linked to a room or asset and stays open until the fix is confirmed.

Does it work for seasonal teams in different languages?

Yes. Training, procedures and the voice assistant work in each person's language.

Do we need new cameras?

No. Vision checks are optional and use the cameras you already own, processed on site.

How are hotels priced?

Hotels are quoted in the Personalize plan, with modules chosen after discovery.
